Itemize deliverables, not just hours

Clients pay for outcomes. List deliverables by name — "Logo design: 3 concepts, 2 revision rounds", "Brand guidelines, 12-page PDF", "Social media templates (10)" — even when you priced them by the hour. If you did bill hourly, show hours × rate on the line so the maths is transparent.

Revisions beyond what the quote included should be their own line ("Additional revision round — homepage banner"). Agreeing the number of included rounds up front, then invoicing extras separately, is the simplest defence against scope creep.

Deposits, licensing and payment terms

Many designers take 30–50% up front and invoice the balance on delivery. On the final invoice, show the full project fee and deduct the deposit already received so the balance due is clear.

Use the terms section to state usage rights — for example, that full rights to the final files transfer on payment. Clients rarely object, and it gives you leverage if an invoice goes unpaid. Add your payment details or payment link so paying is one click.

FAQ

How should a graphic designer invoice — hourly or per project?

Project pricing is more common for defined work like logos and brand identities; hourly suits open-ended or ongoing work. Either way, name the deliverables on the invoice so the client knows exactly what they are paying for.

Should I charge for extra revisions?

Yes, if they go beyond what your quote included. State the number of included rounds in the quote, then bill additional rounds as separate lines on the invoice.

Can I add my own logo to the invoice?

Yes. In the online generator, click the logo area at the top of the invoice to upload and crop your logo. It appears on the downloaded PDF, with no InvoiceStudio watermark.

Is this graphic design invoice template free?

Yes. The Word and Excel templates and the online generator are free for commercial use — no signup, no watermark.
