Free Consulting Invoice Template

Consulting engagements are billed every way imaginable — hourly, day rates, monthly retainers, fixed project fees, sometimes all four across one client relationship. This free service invoice template, available for Word and Excel below, keeps the document professional regardless of the model: itemized engagements, clear periods, and a total nobody has to hunt for.

Because your invoice often lands on the desk of a finance team rather than the person you worked with, the details matter: a PO or engagement reference, the billing period, and line descriptions that match the statement of work. The free generator below produces exactly that as a finished PDF, with the arithmetic handled for you.

Structuring lines for retainers, day rates, and projects

For a retainer, one line per period is enough — "Advisory retainer — June 2026" at the agreed monthly fee — with a short note of what the retainer covered if the client's finance team requires it. Day-rate work reads best as days × rate ("On-site workshop facilitation — 2 days @ $1,400"). Fixed project fees should reference the deliverable and the agreement ("Market entry analysis, per SOW #4, phase 1 of 2").

Expenses billed back to the client — travel, software, data purchases — belong as separate lines, ideally grouped after the fees, so the client can approve professional charges and pass-through costs on different internal budgets.

Invoicing corporate clients without friction

Large clients pay on their accounts-payable cadence, not yours — but you control whether the invoice enters that pipeline cleanly. Include the purchase order number if one was issued (invoices without one are routinely bounced), address the invoice to the legal entity named in your contract, and match line descriptions to the SOW language. A correct invoice submitted once beats a fast invoice resubmitted three times.

From engagement letter to invoice in one minute

The InvoiceStudio generator keeps your consulting billing consistent: your details and numbering persist, totals and tax compute as you type, and each month's retainer invoice is a duplicate-and-edit of the last. FAQ

How do I invoice for a consulting retainer?

Bill one line per period at the agreed fee, labeled with the month it covers, and send it on the same date each cycle. If the retainer includes an hours cap, note hours used so overages on the next invoice are expected.

Should consultants itemize hours or bill a flat fee?

Follow the engagement agreement. Itemized hours build trust early in a relationship; flat fees and retainers price the outcome rather than the time. Whichever you use, the invoice should mirror what the contract says.

What is the difference between a consulting invoice and a service invoice?

Nothing structural — a consulting invoice is a service invoice for advisory work. Both itemize services rather than goods, which is why this template works for any service business.

Can I add a purchase order number to this template?

Yes — put it in the notes or reference field. In the InvoiceStudio editor, the notes block is the right home for a PO or engagement reference.
