Free Electrician Invoice Template

Electrical work is regulated, inspected and often paid for by someone other than the person you met on site — a landlord, a general contractor or an insurer. This free electrician invoice template (Word .docx and Excel .xlsx below) makes room for what they check: your license details, the scope of work, materials, and any permit or inspection fees.

If you would rather not edit a document for every job, use the free generator below. Enter your hours and materials and it calculates the totals and produces a clean PDF invoice with your logo and no watermark.

What belongs on an electrical invoice

Beyond the standard fields — business and customer details, invoice number, dates and totals — an electrician should include the license number where required, the job site address, and a clear scope: "Install 4 recessed LED fixtures and dimmer switch, living room" is far better than "electrical work".

List materials separately from labor: wire, boxes, breakers, fixtures and devices. If you pulled a permit or paid an inspection fee on the customer's behalf, pass it through as its own line so it is clearly not part of your markup.

Billing contractors and property managers

When you work as a subcontractor, match the general contractor's paperwork: reference their job or purchase order number in the notes, and invoice by the phase they track (rough-in, trim-out, final). Property managers usually want the unit number on every invoice so it lands on the right owner's statement.

Set clear payment terms — "Net 15" or "Net 30" for trade accounts, due on completion for homeowners — and print them on every invoice. Consistent terms get you paid faster than chasing each job individually.

FAQ

How do electricians usually bill — hourly or per job?

Both are common. Service calls and troubleshooting are usually billed hourly with a minimum charge; installations such as panel upgrades or EV charger installs are often quoted as a flat price. Whichever you use, the invoice should match the quote.

Should permit fees be on the invoice?

Yes — list them as a separate pass-through line with the permit or inspection reference. It shows the customer exactly what went to the city and what went to you.

What payment terms should an electrician use?

Homeowners typically pay on completion. Contractors and property managers usually pay on Net 15 or Net 30 terms. Put the due date and accepted payment methods on every invoice.

Is this electrician invoice template free?

Yes. The Word and Excel templates and the online generator are free for commercial use — no signup, no watermark.
