What belongs on a contractor invoice
Beyond the standard fields (your business name and contact details, the client's details, invoice number, dates, and total), a contractor invoice should carry your contractor license number where your state requires it, the job site address if it differs from the billing address, and a line-by-line account of the work: each task or phase, materials supplied, and any permit or inspection fees you paid on the client's behalf.
If you took a deposit, show it. Invoice the full job value, then record the deposit already received as a fixed-amount discount in the generator so the balance due is unambiguous. In the Word or Excel template, add a "Less deposit received" deduction row instead. Clients dispute surprises, not arithmetic they can follow.
Handling change orders on the invoice
Scope changes are normal; undocumented scope changes are unpaid ones. When the client adds work mid-job, price it in writing before doing it, then invoice it as its own clearly labeled line ("Change order #2: relocate panel, approved 3/14") rather than folding it silently into an existing item. That keeps the original quote intact and makes the final invoice self-explanatory.
Independent contractor invoices
If you work as an independent contractor for a company rather than for homeowners, the invoice is simpler: your name or business name, the client company, the period or project, your hours or fixed fee, and payment terms. Add your tax ID only if the client asks for it on the invoice; US clients usually collect it once on a W-9 instead. How do I show a deposit on the invoice?
